PDR Lead-to-Job Snapshot: Getting Started

Use this guide to install, personalize, test and safely launch your SnapFlow PDR system. Complete every required step before publishing workflows or connecting live customer traffic.

Nothing should go live immediately after import.

The workflows and AI templates are intentionally delivered in Draft or Off status. Replace the placeholders, connect your services, assign responsible users and complete a controlled test first.

Step 1

Choose the right setup path.

Your Marketplace purchase determines who performs the initial configuration. Both options require your own eligible account and your own provider subscriptions and usage billing.

Self Install

$297 one time

You install and configure the snapshot using this guide. You are responsible for the destination account, integrations, personalization, compliance review, testing and activation.

Installed for You

$699 one time

SnapFlow Solutions configures the included system after receiving your completed intake information and authorized account access. Custom development, migration and ongoing management are outside the standard installation scope.

Step 2

Understand what was delivered.

  • Ten-stage PDR lead-to-job opportunity pipeline
  • Ten coordinated Draft workflows covering intake through review
  • Damage-inspection calendar and PDR intake fields
  • Customer and damage-photo intake form
  • Reusable tags, custom values and message templates
  • Portable PDR customer knowledge-base content
  • Disabled SMS Conversation AI assistant template
  • Disabled Voice AI receptionist framework
Not included: an account subscription, phone number, calling or messaging usage, email service, sending domain, AI billing, advertising, custom migration or ongoing CRM management.
Step 3

Install into the correct location.

  1. Sign in to the account that will own and operate the PDR system.
  2. For the safest installation, create a new sub-account/location for the business.
  3. Install the purchased snapshot into that location.
  4. If installing into an active location, first document existing pipelines, fields, forms, calendars and workflows. Imported assets may create duplicates.
  5. After import, confirm that the pipeline, calendar, form, custom fields, tags, custom values, workflows and AI templates are present.
  6. Do not delete similarly named assets until you know which version is connected to existing forms, websites or automations.
Step 4

Replace every placeholder and connect your services.

  • Replace the business name, main phone, website, service area and shop address.
  • Replace the booking link, Google review link, privacy-policy URL and terms URL.
  • Add the correct users and assign an owner for leads, alerts and escalations.
  • Set the location time zone, business hours and calendar availability.
  • Configure appointment duration, buffers, notice rules and assigned calendars.
  • Connect the buyer-owned phone number and confirm calling and SMS routing.
  • Connect the buyer-owned email service and authenticated sending domain.
  • Review A2P registration, consent language, quiet hours, DND and STOP handling.
  • Customize the PDR Photo Estimate Request form and embed or link it from the buyer's website.
  • Review every email and SMS message for accuracy, tone and approved business information.

Recommended photo instructions

Ask the customer for at least three images: a full vehicle/context photo, a straight-on damage photo and an angled or reflection photo showing dent depth. Photos support preliminary review only and do not guarantee repairability or a final price.

Step 5

Keep AI disabled until it is personalized and tested.

The core snapshot does not require AI. The included Conversation AI and Voice AI assets are frameworks that require additional configuration, eligible account features and buyer-funded usage.

Recommended Voice AI starting point: When available in the buyer's account, start testing with OpenAI GPT-Realtime-2.1 and the Cedar voice. OpenAI identifies Cedar and Marin as its recommended voices for best quality, so Marin is the preferred alternate when Cedar does not fit the business. This is a starting recommendation, not a universal guarantee: compare both voices using real PDR call scenarios, confirm current HighLevel availability and pricing, and choose the configuration that provides the clearest, most natural and most reliable customer experience.
  • Confirm that the buyer's plan and billing support the desired AI features.
  • Personalize the knowledge base with approved services, hours, service area, location, policies and escalation rules.
  • Replace every temporary handoff assignment with the responsible buyer user or team.
  • Connect the correct phone number and verify the Voice AI transfer destination.
  • Test pricing, repairability, insurance, legal, safety and unknown-question boundaries.
  • Test human handoff, manual staff replies, conversation limits, summaries and STOP/DND behavior.
  • Activate AI only after the buyer accepts the applicable usage charges and every critical test passes.
Step 6

Run a controlled end-to-end test.

Use a synthetic contact, an owner-controlled phone number and non-customer test images. Do not test on a real lead.

TestPass requirement
New inquiryContact, fields, tags and opportunity are created correctly.
Photo intakeUpload works on desktop and mobile and the images reach the correct contact.
Missed callThe approved response is sent once and respects consent and quiet-hour rules.
Inspection bookingCorrect calendar, availability, owner, confirmation and reminders are used.
Estimate follow-upMessages start and stop at the intended stages without duplicates.
Cancellation/no-showRecovery messages and opportunity stages update correctly.
Review requestThe request uses the correct review link and only sends after a completed repair.
STOP/DNDOpt-out is recorded and no further automated assistance is sent.
AI handoffThe correct user is alerted and automation does not compete with the human.
Voice transferThe call reaches the intended person and the post-call workflow behaves correctly.
Step 7

Complete the launch gate.

  • No placeholder business information remains.
  • No prior-client or test customer data is present.
  • Every automation has an owner, trigger, stop condition and opt-out path.
  • Calendar assignments and internal alerts reach the correct person.
  • The full synthetic lead-to-job journey passed.
  • The buyer approved the message copy and go-live timing.
  • A rollback plan exists: return workflows to Draft and disconnect live traffic.
Publish gradually. Activate workflows individually and monitor the first tests before enabling the next stage. Do not publish every automation simultaneously.
